Communications Project Coordinator

Job Description

Position Focus:Administers a University program of small to medium scope. Responsible for program management and development, public relations and marketing, communications, supervision, facilities, information systems, administrative and legislative advocacy and the development of a long-term sustainability plan. Serve as project manager/coordinator for annual or ongoing projects and assist editorial and design teams in building and managing production schedules of weekly output, annual campaigns and publications, and special projects. Assist in composing/gathering and scheduling social media posts; creating and maintaining social media calendar. Write web spotlights or other short news briefs as assigned. Coordinate with the business office on compiling documentation/relevant information needed to complete PO setup, finalize contracts, ensure timely payment of vendor invoices. Be the primary contact for vendors of status on payments, PO setup, paperwork required, and other communications needed to ensure smooth workflow between communications office, the business office, and external vendors. Oversee coordination, scheduling, and location set up of photo/video shoots, including general campus life shoots and tri-annual faculty/staff headshots, such as signup sheets, answering general questions, coordinate calendar dates of subjects of student volunteers, distribution of proofs or final assets/shots. Research and screen freelancer vendors such as photographers, writers, video assistants, and/or designers; assist the design/multimedia team in locating off-site vendors, such as photographers, videographers in off-site locations in the U.S. and internationally. Oversee general YSE communications email inquiries and traffic general inquiries to the correct sub-department/person within the office. Coordinate with external suppliers on purchase of communications equipment/materials, such as video supplies, sample materials for swag; manage office supply needs and purchases. May perform other duties as assigned. 

Responsibilities + Skills

Familiarity of art, video, or photo licensing, freelance writing, design, photo/vid contracts; use of project man software such as JIRA; skills with software Excel and PPT. Demonstrated experience with WordPress, Drupal or other content man systems. Proven experience in one or more functional communication areas: news/editorial; social media man/strategy, design/multimedia, web serv.

Education

Demonstrated experience with budget tracking and management.
