Assoc. Director For Administration

Job Description

Reporting to the Vice President of Student and Campus Services, the Associate Director for Administration will be an integral member of the VPs senior staff and will be responsible for providing confidential executive level administrative support to the VP. The incumbent will be responsible for the central coordination of all activities and projects of the VP. The incumbent will serve as the gatekeeper and assist the VP in the execution of all necessary obligations and ensure that the office sets the highest standard of professionalism across all the Student and Campus Services departments. The incumbent will regularly collaborate with team members of all levels, so strongly developed written and verbal communication skills are crucial. The Associate Director serves as a leader, planning meetings and determining the needs of the business and must have the ability to lead in an effective and trustworthy way. The Associate Director is not only responsible for improving the efficiency of the business but managing the time of the executive leader. They must have skills in organization and planning to prioritize tasks, set meetings and diffuse work conflict without bringing it to the attention of the executive leader. ResponsibilitiesExecutive Support (50%)Effectively manage the VP's calendar and independently schedules routine and ad hoc appointments; prioritize conflicting needs and handle matters quickly and proactively. The incumbent will plan and coordinate necessary travel itineraries accordingly.Coordinate logistics for meetings and conference calls including, but not limited to ensuring an agenda is available, reserving conference rooms or conference lines, ensuring participants of the meeting have materials and meeting information needed.Independently creates and/or prepares presentation decks, memos, letters, and other confidential correspondence, as needed, for VP review and signature, before distribution.

Responsibilities + Skills

Requires a bachelors degree or equivalent in education and experience, plus a minimum of 4 years of related experience.Experience of working at executive assistant level with senior management and senior level
