Special Projects Manager

Job Description

Essential Duties Include: Project Administration: Plan, organize, coordinate, and manage priority projects as identified by the Dean’s office. Oversee project planning sessions. Report on a regular basis the status of project tasks, adjustments to timelines, resource requirements and barriers to completion. Formulate and design working protocols to achieve end results. Identify and coordinate all necessary resources to achieve project objectives. Ensure projects meet deadlines. Project areas include efforts related to YSPH’s independence, general operations, events, budget process, diversity programming, faculty affairs programming, staffing, etc. Serve as a point of contact for operational issues and triage to appropriate personnel. Policy, procedures, and project development: This position will work with the chief of staff to assess and analyze the process of policy, procedure, and program development for the functional areas within the school, as identified by the Dean’s office. Proactively work with various administrative teams at the school to develop internal policies that are in compliance with university policies and consistent application across the school. The position will be responsible for developing and maintaining procedure documents and ensuring that standard operating procedures are documented and updated. Process Improvement: Responsible for reviewing processes and procedures for process improvement. Work collaboratively with multiple offices to identify projects, define project scope, goals and deliverables; acquire information, set deadlines and monitor progress. Develop and implement strategic plans. Effectively communicate logical project phases to stakeholders, identify obstacles, recommend and implement solutions. Manage process improvement initiatives within the school, complete one to three projects throughout the year. Create a process improvement culture within the school. Space planning and management: Work with the chief of staff and lead administrator to support long term space planning efforts by collecting data, developing policies and SOPs, and communicating updates with internal and external stakeholders.

Education

Working knowledge of mail processes, familiarity with Microsoft Office Suite, Google email and calendar functionality, with basic knowledge of computer troubleshooting skills.
